JOB DESCRIPTION :

• Perform excellent secretarial function to Board of Directors
• Organize the Board of Directors schedule and appointments.
• Prepare and distribute meeting materials (e.g., reports, documents, presentations, etc.)
• Extracts key information from meetings, takes detailed minutes, and send to Board of Directors and participants.
• Organizing documents and paperwork and maintaining a filing system
• Ensure the fulfilment of the Board of Directors' business trip preparations (assignment letters, tickets, accommodation, etc.)
• Recapitulate the operational costs of the Board of Directors (e.g., business trip expenses, entertainment costs, etc.), and make request for advance payment as per policies.
• Provide efficient and responsive administrative organizational and logistic service to Board of Directors
• Manage ticket and accommodation to support employee business trips, according to company policies and standards.

QUALIFICATION :

• Diploma III in Secretary or Bachelor’s Degree in Chinese Literature
• At least 7 years experience as Executive Secretary
• Fluent (written and oral communication skills) in English is a MUST
• Able to multitask and prioritize daily workload
• Strong organizational skills and time management skills
• Responsible, Honest, Trustworthy, Disciplined, Integrity and willing to learn new things
• Willing to be placed at Gresik, East Java
